How to fix the issue when the printer shows “Offline” or cannot print?

Possible Causes:

  • The computer does not recognize the printer port
  • The device is not properly connected to the network
  • Print services are not running
  • The wrong printer name was selected when printing

Solutions:

  1. Check whether the indicator lights on the print server are functioning normally.
  2. Restart the printer, print server, and computer.
  3. Open Windows Services and ensure the following service is Running:
    Print Spooler
  4. Make sure the correct printer name is selected when printing.
  5. Re-add the printer manually:
    • Choose “Add a local printer”
    • Create a new TCP/IP port
    • Enter the actual IP address of the print server
